Bolton Pole Vault Complaint & Reporting Process

Purpose

 Bolton Pole Vault is committed to providing a safe, inclusive, and respectful environment for all athletes, coaches, volunteers, and parents. This process ensures that concerns are handled fairly, confidentially, and in accordance with Safe Sport principles and Athletics Ontario policies. 

What can be reported

  Complaints may include (but are not limited to):

  • Harassment, bullying, or discrimination
  • Abuse (physical, emotional, or sexual)
  • Inappropriate conduct or boundary violations
  • Safety concerns or unsafe training environments
  • Breaches of club or Athletics Ontario policies

How to Make a Complaint

  Complaints can be submitted in any of the following ways:

A. Email (preferred):
Send details to: boltonpolevault.doug@gmail.com

B. In Writing:
Submit a written complaint to a club executive or designated Safe Sport Officer

C. Verbal Report:
Speak directly to a coach, club official, or Safe Sport Officer (they will document it)

Anonymous complaints may be accepted but could limit the ability to investigate fully 

Information to Include

  • Your name and contact information  (if not anonymous)
  • Name(s) of person(s) involved
  • Description of the incident(s)
  • Date(s), time(s), and location(s)
  •  Any witnesses or supporting information

Immediate Safety Concerns

  If there is an immediate risk of harm:

  • Contact local emergency services (911)
  • Report directly to Athletics Ontario or Safe Sport authorities

Complaint Handling Process

  1. Acknowledgement – Complaint is acknowledged within 3–5 days
  2. Initial Review – Determine if it falls under club jurisdiction or must be referred
  3. Referral (if required) – Serious cases may be directed to Athletics Ontario or Safe Sport bodies
  4. Investigation – Conducted fairly, respecting confidentiality
  5. Outcome – Findings and any actions communicated to relevant parties
  6. Follow-Up – Ensure resolution and ongoing safety

Confidentiality & Protection

  • All complaints are handled confidentially to the extent possible
  • Retaliation against anyone making a complaint is strictly prohibited
  • Support will be offered to affected individuals

External Reporting Options

  Individuals may also report directly to:

  • Athletics Ontario
  • Sport Integrity Commissioner of Canada (for federally aligned programs)

Record Keeping

All complaints and outcomes will be securely documented and retained according to privacy and legal standards.

Review of Policy

This complaint mechanism will be reviewed annually to ensure alignment with Safe Sport and Athletics Ontario requirements.
